When to use this HVAC invoice

Use this invoice after diagnostic visits, component replacements, refrigerant recharges, seasonal tune-ups, and maintenance-plan visits. It also works for deposits and balances on full system replacements billed in stages.

What to include

Include the service address, system type and location, the fault found, repair labor hours, parts replaced, refrigerant type and quantity, and the diagnostic fee. If the visit was under a maintenance plan, note what the plan covered.

Using The Current Invoice Generator Fields

In the invoice generator, use line items for the work performed, mark only taxable lines with the Taxable checkbox when tax applies, use Discount Amount only for a fixed discount, and use Amount Paid / Deposit Credited only for money already received or credit already applied.

If the paid or credited amount is greater than the invoice total, Balance Due should stay at 0.00 and the extra amount should show separately as a Credit / Overpayment Balance. That keeps overpayments, customer credits, return adjustments, or refund-due situations visible instead of hiding them.

How should refrigerant appear on the invoice?

Show the refrigerant type, the pounds added, and the per-pound rate on one line. If a leak was found or suspected, add a short note, because a recharge without that context looks like a recurring charge.

How do I invoice a visit covered partly by a maintenance plan?

List the plan-covered items at zero or with a plan-credit line, then list billable repairs separately. The customer should be able to see exactly what the plan saved them.

Should the diagnostic fee apply toward the repair?

If that is your policy, show the diagnostic fee as a line item and the credit as its own line when the repair is approved. Making the credit visible reinforces the value of saying yes.
