This template is designed for surface prep, painting labor, paint and supplies, interior rooms, exteriors, and approved change orders. It separates prep from finish work so the customer understands where the hours went.
When to use this painting invoice
Use this invoice after interior room work, exterior repaints, cabinet refinishing, deck and fence staining, and touch-up visits. It also works for progress billing on multi-room or whole-house jobs.
What to include
Include the property address, the areas painted, prep work performed, labor hours, the paint product and colors used, supplies, and any approved change orders. Listing the paint product answers future touch-up questions.
Using The Current Invoice Generator Fields
In the invoice generator, use line items for the work performed, mark only taxable lines with the Taxable checkbox when tax applies, use Discount Amount only for a fixed discount, and use Amount Paid / Deposit Credited only for money already received or credit already applied.
If the paid or credited amount is greater than the invoice total, Balance Due should stay at 0.00 and the extra amount should show separately as a Credit / Overpayment Balance. That keeps overpayments, customer credits, return adjustments, or refund-due situations visible instead of hiding them.
Example payment note
Payment due upon completion and walkthrough. Approved change orders are listed as separate line items.
Practical example
A painting invoice might include prep labor for patching and sanding, painting labor for two rooms, the paint and supplies used, masking and cleanup, a deposit already credited, and remaining balance.
Industry-specific use cases
Use it for room-by-room jobs, exterior repaints billed by phase, staining work, punch-list touch-ups after a walkthrough, deposits on larger jobs, and final balances.
Example line items
- Surface prep — patching, sanding, caulking
- Painting labor by room or by hour
- Paint and supplies with product noted
- Masking and cleanup
- Approved change orders
Payment term suggestions
A deposit at scheduling with the balance due after the final walkthrough is standard. Note touch-up terms so the walkthrough closes the job cleanly.
Common mistakes to avoid
Not separating prep from painting labor, leaving out the paint product and colors, or absorbing change orders into existing lines where the customer cannot see them.

FAQ
Should paint be billed at cost or marked up?
Either works if the line is honest: show the product, the quantity, and your price. Customers dispute vague supply lines far more often than visible markups on named products.
How do I invoice a change order like an extra room?
Add it as its own line item referencing the approval date. Keeping it separate protects the original quote and shows the customer agreed to the addition before the work happened.
What should the invoice say about touch-ups?
State the touch-up window and note the paint product and colors used on the invoice itself. That single line prevents most walkthrough disputes and makes future touch-ups easy to match.
