Detailing invoices live or die on one distinction: the package versus the condition of the vehicle. The package price assumes a normal car; the surcharge covers the one that isn't. Keep those separate on the document — as the mobile-detailing preset in the generator does — and the awkward driveway conversation about pet hair becomes a line item instead of an argument.

Packages priced by vehicle size

List the package with the vehicle class in the description: "Full interior detail — sedan." Size tiers (sedan / SUV / truck / XL) are the industry's honest way of pricing labor time, and naming the tier on the invoice prevents the "why was my Tahoe more than my neighbor's Civic" call. The preset's notes carry the one-tier-up wording for SUVs and trucks.

Add-ons are lines, not favors

Engine bay cleaning, headlight restoration, ozone odor treatment, clay bar and sealant, fabric protection — each is its own line at its own price. Detailing margin comes from add-ons, and add-ons only get purchased again if the customer can see what they paid for them the first time.

Condition surcharges: quote before you start

Pet hair, sand, spilled milk, mold, biohazard-adjacent messes — walk the vehicle, name the surcharge, get the nod, then start. The invoice line ("Pet hair / heavy soil surcharge") memorializes what was agreed at the walkaround. A surcharge that first appears on the finished invoice reads as a penalty; one agreed at the walkaround reads as honesty.

Travel fees and site logistics

A stated service radius with a modest travel fee beyond it keeps far-flung bookings profitable — one line, quoted at booking. Water and power access is worth a standing sentence in the notes: appreciated when available, self-contained setup on request. Fleet and dealership work inverts the retail pattern: multiple vehicles on one invoice, each vehicle a line with its last-six VIN or stock number in the description, on net terms rather than payment at the vehicle.

Payment at the vehicle

Retail detailing is a due-on-completion trade — payment at the vehicle by card, Zelle, or Venmo, exactly as the preset's terms state. For recurring customers on a monthly wash-and-detail cadence, flip to the schedule-based approach in invoicing recurring service customers instead of re-quoting every visit.

Worked example

Driveway appointment: full interior detail — sedan $175, exterior hand wash and wax $95, engine bay $45, pet hair surcharge agreed at walkaround $50, travel fee beyond radius $25. Subtotal $390, taxable per your state's treatment of detailing services, paid by Venmo at the vehicle, receipt sent before pulling away.

Common detailing invoice mistakes

Absorbing the pet-hair job into the package price once and creating a precedent; leaving the vehicle class out of the description; giving fleet customers retail one-vehicle invoices that their AP department can't process; and taking Zelle with no receipt trail — pair cash-adjacent payments with the receipt generator so both sides hold a record.

Skip The Blank Form

The invoice generator has a built-in Mobile Detailing preset: typical line items, payment terms, and notes load in one click, and every field stays editable. Open the generator with the Mobile Detailing preset, or pick any trade from the preset dropdown inside the tool.

FAQ

How do I price surcharges for pet hair or heavy soil?

Walk the vehicle first, name the surcharge, and get agreement before starting. The invoice line then memorializes the walkaround agreement instead of surprising the customer.

Should vehicle size be on the invoice?

Yes — put the class in the package description ('Full interior detail — sedan'). Size tiers explain price differences between vehicles honestly.

How is fleet detailing billed differently?

Multiple vehicles on one invoice, each as a line with its stock number or last-six VIN, typically on net payment terms rather than payment at the vehicle.

Is detailing taxable?

It varies by state — some tax detailing services, others don't. The preset marks service lines taxable as a visible default; confirm and adjust for your state before sending.
